Booking, Fees, and Payments

  • Tour Deposit: A non-refundable fee of $500 per person is required at the time of booking to reserve your spot on the tour.

  • Payment Schedule: Final payment is due according to payment schedule, but no less than 90 days prior to departure. If your booking is made within 90 days of departure, the entire tour cost must be paid upon booking.

  • Payment Fees: Payments may be made by credit card or bank transfer. Credit card fees are paid by the participant. Bank transfers do not incur a fee.

  • Refund Policy:

    • The deposit made at the time of booking is non-refundable

    • If you need to cancel more than 90 days before the tour start date, you’ll receive a 75% refund of what you’ve paid (not including the deposit).

    • If you cancel between 90 and 30 days before the tour start date, you’ll receive a 50% refund of what you’ve paid (not including the deposit).

    • If you cancel within 30 days of departure, we’re not able to offer a refund.

  • Rooming policy: Tours are priced based on double occupancy. If you’re traveling solo, we will pair you with a roommate unless you choose to purchase a single room supplement at the time of booking.

Requirements + Responsibilities

  • Contract & Waiver: The lead participant (the person who pays the tour deposit) must sign a contract agreeing to the payment schedule. All participants must sign a waiver. Participants under 18 need guardian’s co-signature.

  • Communication: The lead participant is our main contact and must share all necessary information with their travel companions. Add wilkinstravelco@gmail.com to your email contacts to avoid missing important updates.

  • Passports: You must provide a photo of your passport after booking to assist with travel arrangements. Passports must be valid for at least 6 months after travel ends. You are solely responsible for obtaining required visas, vaccinations, or other entry requirements.

During your tour

  • Activities & Scheduling: All activities listed in your itinerary are included unless otherwise stated. Please arrive on time to all group meetings and activities to help the day’s schedule run smoothly. We reserve the right to make changes to our published itineraries.

  • Dietary restrictions: Vegetarian options are always available. Other special diet requests should be made at the time of booking. While we will make every effort to accommodate you, we cannot guarantee options for all dietary needs in every location.

  • Accommodations: You should be aware that hotel room sizes, standards, and facilities can vary regionally and are often different from standards in the United States. This can include differences in bed sizes, bathroom amenities, and ADA accessibility. One of the joys of international travel is experiencing different cultures and different ways of life, so we hope that you will accept these differences with grace and a sense of adventure.

  • Health & Fitness: Our tours are physically active, with varying levels of demands and fitness requirements depending on the specific itinerary. You must ensure you are fit for the itinerary’s demands. Please note that accommodations outside of the USA may not be in compliance with the Americans with Disabilities Act and you should be comfortable climbing several sets of stairs. If you require medical care while on tour, you are responsible for all associated costs including transportation.
